This policy explains how OakNest Media Ltd (“we”, “us”, “our”, trading as Oaknest Media) collects, uses and protects your personal data when you use our website or get in touch with us. We are committed to handling your information responsibly and in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Our registered office address is held on our Companies House record (company number 16725384). For any privacy or data protection matter, the quickest way to reach us is by email at [email protected] or by phone on +44 1872 309584.
The information we collect
Depending on how you interact with us, we may collect:
- Contact form details — your name, email address, phone number, company or business name, how you heard about us, and the content of your message.
- Enquiry / application details — information you provide through our enquiry form about your business, goals and requirements.
- Correspondence — records of emails, calls and messages you exchange with us. Where we use an AI call-handling service, calls may be recorded or transcribed to help us respond to you.
- Usage data — information about how you use our website, collected via analytics cookies (see “Cookies and analytics” below).
How we use your information
We use your personal data to:
- respond to your enquiries and provide the services you ask us about;
- manage our relationship with you and provide our services if you become a client;
- improve our website and understand how it is used;
- meet our legal, accounting and regulatory obligations.
Our lawful bases for processing are your consent (for example, when you submit a form or accept analytics cookies), our legitimate interests in running and growing our business, and, where you become a client, the performance of a contract with you.
Who we share it with
We do not sell your personal data. We share it only with trusted service providers who help us run our business, and who are required to keep it secure. These include:
- GoHighLevel — our customer relationship management (CRM), forms and communications platform.
- Google Workspace — our business email provider.
- Google Analytics — website usage analytics.
- Our website hosting provider — which stores the site and its data securely.
- Where we take payments, these are handled securely by a third-party payment provider; we do not store your full card details.
We may also disclose your information where we are required to do so by law or to protect our legal rights.
Cookies and analytics
Our website uses cookies, including Google Analytics cookies, to understand how visitors use the site so we can improve it. Analytics cookies are only used where you have given your consent. You can manage or withdraw your consent at any time through your browser settings or any cookie controls provided on the site.
How long we keep your data
We keep enquiry data for up to 12 months unless you become a client. If you become a client, we keep your data for longer where necessary to fulfil our contract with you and to meet our legal and accounting obligations. When data is no longer needed, we securely delete it.
Your rights
Under UK GDPR you have the right to:
- access the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to delete your data in certain circumstances;
- object to, or ask us to restrict, certain processing;
- withdraw your consent at any time.
To exercise any of these rights, please email us at [email protected]. We will respond within one month. If you are unhappy with how we have handled your data, you have the right to complain to the ICO at ico.org.uk.
